Effective Board Meetings: How to Conduct Effective and efficient meetings

Your company depends on the board for relaying crucial information to internal team members and ensuring that everyone is focused on achieving their overall goals. Ineffective or unproductive board meetings can lead to an increase in productivity and disconnection with management.

To create effective meetings it is essential to know the roles each member plays and the various styles of discussion that are present within your board. For instance, some board meeting members may be more vocal and inclined to speak first, whereas others are more reflective and think before speaking. The board chair, executive Director, or CEO must be able to spend time outside the boardroom in order to get to know each member’s preferences, interests and styles of discussion.

In the initial session of your board meeting, ensure whether there is a sufficient quorum (a minimum number required to legally conduct any business). The chair should then summarise the highlights of the package for board members and the pre-meeting phone call, and set expectations for rest of the meeting.

The majority of the board’s meetings should be devoted to discussing strategies to help advance the business and ways to overcome any roadblocks. This is when the board can offer new perspectives to inspire new ideas and foster growth. It’s ideal for your board to have an agenda item dedicated to compliance and legal issues. This will ensure that they are in compliance with all laws regulations, ethical standards and other laws.
